About the Job

Bettina Bogar Photography is searching for a reliable, task & detail oriented Administrative Assistant. The assistant will work directly with Bettina either remotely or on location in the GTA and will be responsible for performing a number of administrative duties. The ideal candidate is highly self-motivated, professional, and capable of managing their work load and prioritizing tasks in a fast-paced photography business.

Please note that this is a contract position with 10-15 hrs/week at $14/hr. The position may require occasional travel to assist with productions at an increased rate of $200-$300 per day.


• Provides a bridge for smooth communication between Bettina and her clients

• Answering or directing inquiries

• Responds to emails & booking inquiries in a timely fashion

• Manages an extremely active calendar of events

• Assist with planning & coordination

• Updates and maintains digital mailing lists

• Creates quarterly digital newsletters

• Inputs business expenses

• Prioritizes conflicting needs; handles matters expeditiously, proactively, and follows-through on projects to successful completion, often with deadline pressures.


Provides assistance with photo shoot pre-production:

• Creates client agreements while following up until signatures have been attained

• Acquires location permits and permissions

• Acquires certificates of insurance when needed

• Manages production schedules while providing updates to all parties involved

• Creates and distributes call sheets to clients, talent and production teams

• Arranges travel plans


Provides assistance with photo shoot post-production process:

• Creates and delivers client invoices

• Follows up with past-due invoices


Administrative Skills Required:

• Organizational skills

• Able to communicate effectively and professionally, both verbally and via written correspondence

• Project management skills

• High School degree required, some college preferred

• Experienced in task and project management

• Ability to prioritize multiple tasks and problem solve under deadlines

• Ability to communicate effectively and properly (i.e., spelling and grammar) via email

• Strong verbal and written communication skills

• Fast learner with new software

• Friendly and professional demeanor

• Self-motivated

• Ability to represent Bettina Bogar Photography in a professional, courteous, and warm manner

• Familiarity with tax, business, and accounting practices – a plus

• Photography experience - a plus


Software Experience/Skills Required:

• Mac OS 

• Gmail/Gsuite (Calendar, Mail, Google Drive, Google Docs and Sheets)


Unicorn Skills (a plus but not required):

• Adobe Creative Cloud (Photoshop, Lightroom)

• Mailchimp
